Systematic Application Assignments
ProLink+ includes an automated process to assign staff to new applications as well as reassign staff to existing applications when the initially assigned staff becomes inactive.
Intake Clerk
The automated process is used to re-assign Intake Clerks (Business Line Role) to existing applications when the current assigned Intake Clerk becomes inactive. The Assignment Engine uses the “round-robin” approach to balance workload.
If the user’s Disable Auto Application Assign checkbox is selected, the Assignment Engine will skip that user in the assignment of the application. For more information about ProLink+ users, see Users.
Counselor
The automated process is used to assign users with a Business Line Role of Counselor to new applications and reassign existing applications. The Assignment Engine uses the “round-robin” approach to balance workload for new assignments. The system reassigns applications to a different counselor in the same agency when the current assigned Counselor becomes inactive.
You can configure the counselor assignment engine so that homeowners will be assigned to a counselor from an agency that covers the county of the property for which they are seeking assistance. When multiple agencies are located in the same county, the system will randomly select one according to the agency-specified weight. The system determines individual counselor assignments based on the counselor with the least number of assigned applications. For more information about identifying the counties served for a counseling agency, see Counties Served.
If the user’s Disable Auto Application Assign checkbox is selected, the Assignment Engine will skip that user in the assignment of the application. For more information about ProLink+ users, see Users.
Underwriter and Closer
The automated process is used to re-assign Underwriters and Closers (Business Line Role) to existing applications when the initial Underwriter or Closer becomes inactive. The Assignment Engine for these business line roles uses the “round-robin” approach to balance workload.
Applications with Programs in the Disbursement or Monitoring stages will not have Underwriters or Closers reassigned.
If the user’s Disable Auto Application Assign checkbox is selected, the Assignment Engine will skip that user in the assignment of the application. For more information about ProLink+ users, see Users.
